25Live Terminology

Requestor

The Requestor is the primary contact for an event and is responsible for providing accurate information about event logistics and calendar content. Schedulers/Approvers may contact the Requestor if additional information is needed. A Requestor may be a student, staff, or faculty member at the university.

In some cases, the Requestor may also be the Event Owner, which allows them to edit and update the event request. However, the Requestor and Event Owner are not always the same person, as events can be submitted on someone else’s behalf. Requestors can only edit an event if they are also assigned as the Event Owner.

Non-Appalachian constituents cannot submit requests through 25Live and must work with Conference and Event Services to plan their event and reserve space.

Event Owner

An Event Owner is the person who submits the 25Live request via the Event Form to reserve an event space and/or have an event placed on a calendar. This individual may be a student, staff, or faculty member. Event Owners are able to edit events they own to update details and are responsible for providing accurate responses to all questions in the 25Live event form so the appropriate Service Providers are notified and the event displays correctly on calendars.

If the Event Owner is not the person responsible for providing event details (the Requestor), ownership should be transferred to the Requestor. The Event Owner is listed at the bottom right of the event details page. To request a transfer of ownership, contact UESC at uesc@appstate.edu.

Non-Appalachian constituents cannot submit requests in 25Live and must work with Conference and Event Services to plan their event and reserve space. 

Location Approver/Scheduler

A Location Approver  (aka space approver) is responsible for overseeing one or more locations in 25Live. Their primary role is to review space requests for their locations and determine whether the events are appropriate and can proceed. Multiple approvers may be assigned to a single location.

The Scheduler is a Location Approver directly associated with specific location(s). They are the primary contact for cancellation requests, warning emails from the Registrar’s Office when an event is bumped for classes, and any location-specific questions.

  • Facility Representative

    • A Facility Representative is a type of Location Approver/Scheduler that acts as the primary point of contact for questions about a particular building or buildings.

Calendar Approver

A Calendar Approver is given access to review and edit event submissions through 25Live. Approvers may make updates for spelling or grammatical errors, images, and other calendar-related details to ensure accurate and appropriate information appears on the university’s public-facing calendars. 

Service Provider

A Service Provider is a campus constituent that provides a specific service to, or presence at, events. Campus Police, Emergency Management, Parking & Transportation, Grandview Catering, Conference and Event Services, and Mountaineer AV are all examples of service providers. A Service Provider is notified automatically via 25Live when a requestor depending on how the event form questions are answered. It is very important that requestors accurately answer all event form questions.
