25Live Terminology
Requestor
A Requestor is the person submitting a request to reserve an event space and for that event to be placed on a calendar. This can be a student, staff, or faculty member. Non-Appalachian constituents cannot make requests in 25Live and will need to work with Conference and Event Services to plan their event and reserve their space. Requestors are responsible for providing accurate answers for all questions in 25Live so as to notify the proper Service Providers and properly display their event on a calendar.
Space Approver/Scheduler
A Space Approver is the person who reviews the event request and determines if it is appropriate for the spaces requested. There can be multiple approvers for a space. A space must be approved before a Service Provider or Calendar Approver can add their resource. Therefore, it is important to approve or deny spaces in a timely fashion.
The Scheduler is responsible for answering questions about the room, as well as managing cancellation requests and bumped events. Typically, one of the approvers is assigned the role of Scheduler.
Facility Representative
- A Facility Representative is a type of Space Approver/Scheduler that acts as the primary point of contact for questions about a particular building or buildings. Questions about building hours, space limitations, and space policies should be directed to the Facility Representative for a building.

Calendar Approver
A Calendar Approver is granted access to approve calendar submissions via 25Live. Calendar Approvers are responsible for ensuring that calendar events have no spelling or grammatical errors, have an appropriate image, and have added all relevant tags and filters. An event will not pull through to a public calendar until it has been approved by the relevant Calendar Approver.
Service Provider
A Service Provider is a campus constituent that provides a specific service to, or presence at, events. Campus Police, Emergency Management, Parking & Transportation, Grandview Catering, Conference and Event Services, and Mountaineer AV are all examples of service providers. A Service Provider is notified automatically via 25Live when a requestor depending on how the event form questions are answered. It is very important that requestors accurately answer all event form questions.
